Applying for on-campus accommodation

You can submit your application for a room, the moment you submit your application for a course. Progressing and continuing students are encourage to apply before the end of their semester or academic year.

You should apply for accommodation as early as possible to avoid disappointment. See Application deadlines and how to apply for on-campus accommodation section.

Applying for off-campus accommodation

If you do choose off-campus accommodation, again, you should apply once you have accepted an offer of study and paid your acceptance fees .

Students are advised to liaise directly with the off-campus accommodation service providers (pdf).

 

How to apply for on-campus accommodation


  • Decide which room type(s)  you would like
  • Download and complete the application form (pdf)
  • Return it to the Accommodation Office by post, email or fax.  Full contact details are on the form

We will then send you an email to confirm that we have received your application. 

If you do not hear from us one weeks after applying, please contact us.

Application notes

Please make sure you fill in your application carefully and in full so that we can process it quickly for you. 

Please be extra careful that your email address is properly written as our initial reply will be by email. 

The completed form must be sent at least six weeks before Registration day.

As popular accommodation can go quickly, we encourage you to apply as early as you can and to be careful not to make any mistakes when completing the form.

How will your room be allocated

We allocate in the following order of priority:

  1. Minor
  2. Non-Malaysian students
  3. East Malaysian students
  4. West Malaysian students (priority given the further you live from the Campus), as well as date order of when you apply for accommodation, so the earlier you apply the better.

Please list your order of accommodation preferences in your application form and we will allocate based on what is available at the time. Please be aware that we may not be able to offer you your first choice of accommodation. If we are not able to offer your choice of accommodation, we will offer the next best available room which may not be of your choice. Should you choose not to confirm your acceptance of the room allocated within the stipulated time the offer expires and the room will than be made available to the next student on the waiting list. 

 

Your accommodation offer

When you receive a room offer from us:

  • Read it through carefully taking special note of the terms and conditions and the deadline for payments. In order to prevent frivolous bookings, rooms are only confirmed on receipt of the payment required.
  • Return any signed forms, and any other required information, and make the necessary payments to us by the specified deadline. If you have trouble getting your room acceptance back to us by the deadline, please fax or email us to let us know, otherwise we will allocate your room to another student.

If you choose not to accept the offer, you can reject it .

Pay the advanced rental fee as stated in the official invoice from the Accommodation Office. This invoice will be included with your offer letter for on-campus accommodation.
Submit proof of payment via email to the Accommodation Office.

 

How to apply for off-campus accommodation


Students are advised to liaise directly with the off-campus accommodation service providers (pdf).

The off-campus accommodation is deemed a private arrangement between you as a student and the service providers off-campus accommodation. 

The university is under no obligation to either party on any matter whatsoever. 

The university acts as facilitator to provide information to student on the off-campus accommodation and will not held liable in anyway to either party.

 

 

Additional/special requests - On-campus accommodation


Accommodation for students with a partner or family

If you are intending to come to the University with a partner or family, you should be aware that there is no on-campus accommodation for couples/family. We strongly recommend that you arrive before your family, in order to find the right accommodation before your family joins you.

Students with disabilities

Our accommodation features accessible rooms and we have various adaptations and additional facilities that we are happy to incorporate to meet individual needs. Students with a disability will have access to accessible accommodation. We encourage you to contact the Accommodation Office at the earliest opportunity.

Specific medical requirements 

If you have any specific medical requirements, then you will need to provide us with details of these in your application. This will be taken into consideration in order of priority and availability. You also need to provide written supporting documentation with your application.

Vacation Accommodation

Students wishing to stay on in the Halls must apply at least 1 month before the start of the semester break or a month before the last day of your stay (whichever is earlier). Full rental is applicable if you wish to retain your room throughout. Daily rates will apply for those wanting to stay for specific periods. Rates will be slightly higher than term time rates

 

How to pay - On-campus accommodation


Terms & conditions

The following Terms are applicable to the above. To confirm your booking for accommodation, all students have to pay:

  • Quarterly advance rental. (For quarterly billing commencing from April 2015 onward)

How much does it all cost?

Accommodation fees range from approximately RM395 to RM850 per month depending on the type of accommodation. These rates are subject to change.

In order to confirm and guarantee your place, full payment of the above MUST be received before your arrival at the University.

Payment may be made by bank draft, university e-payment, direct bank-in university’s bank account, credit card, debit card, crossed cheque or bank transfer (TT)* to:

Rentals must be paid by the 7th of the first month in every quarter. An administration fee of RM10.00 only will be charged daily on outstanding rental up to the date of settlement.

Your period of stay will be from the start of the academic year till the end of the academic year.  Please note that you are committed to stay the whole academic year. (This does not apply to mobility students.)

NOTE : Progressing and continuing students are encourage to apply before the end of their semester or academic year.

Check in & check out procedures - On-campus accommodation


Check In: When you collect your keys, you will be given a form to sign. The form will confirm:
  1. That you have inspected your room/flat/house and found it in good condition
  2. That you have read the Terms, Rules and Regulations and agree to abide by them
  3. That you agree to stay for the allocated period of time

By signing this form, you are entering into a binding agreement.

If you do not sign this form and return to us, we shall deem that you do not agree with the above and we reserve the right to ask you to leave the room.

Rooms must be vacated by 10:00am on the last day of occupancy and all keys returned to our Accommodation Office-Operation Unit at Tioman Hall (Tioman, Langkawi and Redang Halls) Tioman Hall (Pangkor and Kapas Halls) Radius Building (Perhentian, Gemia, Rawa, Lankayan, Mabul and Sipadan Halls).

You will then be given a form and, together with our maintenance staff, an inspection will be done of your room. If there is any damage an invoice will be generated and the students need to bear the cost.

  

Available services - On-campus accommodation


Fire precautions

The Halls of Residence contain fire fighting equipment, systems and alarms as required by law. Please familiarise yourself with their usage, Also, please take note of the EXIT nearest to you in case of emergencies. Fire drills may be called for from time to time. It is compulsory for students to participate in them.

The equipment such as Fire Extinguishers and Alarms are there for your safety and those who stay there. If you tamper or vandalise them, you may be committing a criminal offence. Anyone caught will be reported to the University and the relevant authorities. We shall impose a fine as well as charge you for the total cost of repairs and replacement.

In addition, no cooking, heating or refrigeration equipment is allowed in your rooms except with prior written permission. Cooking and refrigeration equipment are only allowed in the kitchen and dining areas. The use of candles, aromatic oil burners, and any device that has a naked flame are strictly prohibited. Permission will only be granted where the burning of candles is an accepted form of religious practice.

Cleaning services

At the start of the year, you will be introduced to the housekeeping staff on duty on your floor. Common areas, kitchens and dining areas are cleaned daily. Students are expected to keep their own rooms and bathrooms clean. Rubbish is to be put in plastic bags, securely fastened and left outside your room/flat in the mornings. The housekeeping staff will remove them. They are supposed to clean your rooms too. However, you will have to make appointments with them so that you are present when the cleaning is being done. You can also allow them to enter your room when you are not there but you shall have to inform the Accommodation Office-Operation Unit of this. However, if you do not allow your rooms to be cleaned for more than 2 weeks, we reserve the right to inspect your room.

The cleaners will also clean the floor, tabletop and counter tops of the dining room and kitchen. They will not clean dirty utensils, crockery and cutlery left in the sink. They will also not remove used crockery and cutlery left on the tables

Maintenance services

For emergency repairs during non-office hours, a phone number is posted outside the Accommodation Office-Operation Unit for you to call. Non urgent repairs should be reported to the office during normal office hours. A 'Maintenance/Repair' form is available at the office for you to fill in. Please do not try to carry out the repairs (especially electrical) yourselves.

Laundry & launderette

Coin operated machines for washing and drying are located at the end of Langkawi, Redang Pangkor,Kapas Halls and Radius Building. Charges are on par or lower than outside. We have also made arrangements for a laundry operator to provide services of washing and ironing. Please compare their prices.

Free Internet connection
Internet connection is provided using Wired (LAN) broadband access or wireless LAN connection and the speed will be 3Mbps . For any inquiries student could visit the SNS Office located in Nexus Building.

Bedding packs

We do not provide bedding. However, a bedding pack consisting with the following accessories can be purchased from Accommodation Office with the selling price of RM95.40 per pack. If you interested to purchase the bedding accessories pack, please send your request to Accommodation Office via email : accommodation@nottingham.edu.my.

Right Of Access

For security, health and safety purposes, we reserve the Right of Access to any part of accommodation at reasonable times to fulfill our duties. However, persons who shall have access to your room without notice to you shall always be accompanied by a Supervisor or Manager.

Pest control

There will be regular pest control inspection and work done to the building and to your rooms. However, you shall be informed (except in emergencies) of the date and time. Access to your rooms, as usual, will be under strict supervision. However, please do store and lock away your valuables.

Notice board

There are Notice Boards placed on the ground floor near the offices of every wing. Please read them from time to time for any announcements. Students wishing to place any notices should forward the notices to the Accommodation Office and they will put them up for you. 

 

Accommodation Office Operations Hours 


The University of Nottingham Malaysia Campus has an office located on the ground floor of Tioman, and Radius Building. This is where all students should go for their day to day problems.
  • Monday to Friday 9:00am - 5:00pm
  • Saturday (for keys, maintenance and cleaning matters only) 9:00am - 12:00pm
  • Sunday, public & state holidays closed
  • For keys, maintenance and cleaning matters at Tioman, Langkawi and Redang hall the maintenance office is the ground floor of Langkawi Hall.
  • For keys, maintenance and cleaning matters at Pangkor and Kapas Hall the maintenance office is the ground floor at Tioman Hall.
  • For keys, maintenance and cleaning matters at Perhentian, Gemia, Rawa, Lankayan, Mabul and Sipadan Hall the maintenance office is the ground floor at Radius Building.

There are mobile numbers posted at these offices in case of emergencies. The University has also appointed wardens to look after your welfare at the Halls. Each warden is in charge of a specific block.
